Acceptable Use & Data Minimization
ProcDoc is a logging tool, not your institution’s EMR and not a HIPAA system of record. It is built to hold a minimized, de-identified clinical dataset. You are responsible for your own HIPAA and institutional obligations, and you agree to enter only the permitted data below.
What you may log
- Patient age (capped at 90+)
- Gender
- Date of service
- Location / facility
- Chief complaint
- Diagnosis
- Disposition
- Procedure details
- De-identified narrative notes
What you must never enter (direct identifiers)
- Patient names
- MRNs
- SSNs
- Full date of birth
- Addresses
- Patient phone or email
- Photos or images
- Account / insurance numbers
- Any free text that names a specific person
Entering prohibited data violates these terms and may result in account suspension. If you need to log protected health information, use a system explicitly approved for it by your institution.
